Volunteer Policy
1. Volunteer Requirement
Each registered family is required to complete two (2) volunteer shifts per season.
For families with multiple children registered:
- One (1) additional volunteer shift is required for each additional child
- Maximum total requirement: five (5) volunteer shifts per family per season
Volunteer opportunities may include, but are not limited to: Coaching, Board participation, Umpiring, Concession Stand duties, and other volunteer needs as determined by the New Holstein Baseball/Softball Association (NHBSA).
2. Volunteer Buyout Option
During registration, families will have the option to buy out of all volunteer requirements for a fee of $150 per season.
- The buyout fee may be added automatically during the registration process.
- Families selecting the buyout option will be exempt from all volunteer shift requirements for that season.
- Any family that does not complete their required volunteer shifts by the end of the league season (unless prior approval is granted by the NHBSA Board) will have the $150 volunteer buyout fee charged to the original registration payment method on August 1 of that season.
- Families paying registration fees by cash or check will be required to submit a $150 volunteer deposit, which will be held until the volunteer requirement has been fulfilled.
- Volunteer buyout fees and volunteer deposits are non-refundable, regardless of participation level, scheduling conflicts, injury, weather cancellations, or early withdrawal from the program.
3. Volunteer Scheduling and Responsibility
An online volunteer sign-up system will be used to schedule volunteer shifts. The sign-up link will be available on the NHBSA website:
- It is the family’s responsibility to sign up for and complete the required number of volunteer shifts.
- If a volunteer cannot attend a scheduled shift, it is their responsibility to find an approved replacement.
- If no one reports for a scheduled shift, credit will not be granted for that shift.
4. Time Commitment
Volunteers are expected to fulfill the full duration of their scheduled shift. If games run long or assistance is still needed, volunteers are encouraged to stay and help when possible, even if it exceeds the originally scheduled time.
5. Cancellations
If a game or event is canceled due to weather or other unforeseen circumstances, families scheduled for that shift will be required to select and complete another available volunteer shift.
6. Volunteer Qualifications
- Volunteers must be 18 years of age or older to receive credit toward volunteer requirements.
- Due to alcohol being served, no one under the age of 16 is permitted in the concession stand.
- Exceptions to age requirements may be granted only with prior approval from the NHBSA Board.
7. Volunteer Exemptions
The following individuals are exempt from volunteer requirements:
- Traveling Team Head Coaches
- NHBSA Board Members
8. Special Circumstances
Families who anticipate difficulty fulfilling their volunteer requirement should notify an NHBSA Board Member as soon as possible to discuss potential alternatives or arrangements. Approval of any exception is at the sole discretion of the NHBSA Board.
9. Outstanding Volunteer Obligations
Families with outstanding volunteer obligations or unpaid volunteer buyout fees may be deemed ineligible to register for future seasons until all obligations have been satisfied, as determined by the NHBSA Board.
10. Board Discretion
The NHBSA Board reserves the right to modify volunteer requirements, shift availability, or enforcement procedures as needed due to operational needs, staffing requirements, or unforeseen circumstances.
